Job Duties/Responsibilities

Role Summary

Provide high level administrative support to four Senior Vice Presidents/attorneys handling a wide range of administrative support. 

Key Responsibilities

  • Approve and process payments for outside legal firms through SAP and Serengeti
  • Set up new matters for billing purposes including coding of matters and ensuring outside invoices are properly coded for payment by the applicable cost center
  • Establish with in house counsel budgets for matters and track outside counsel billing against the relevant budgets
  • Support the legal team on project based work relating to budgets, billing, trends, negotiation of rates and retainer letters and ensuring that outside law firms and vendors complete appropriate paperwork
  • May be required to perform other related duties as assigned

Key Requirements and Skills

  • Minimum 5 years previous administrative experience
  • Strong written and verbal communication skills
  • Attention to detail and ability to prioritize work to meet deadlines and submission dates
  • Proficiency in Microsoft Office Suite
  • Law firm matter management/invoice systems, Serengeti (ability to review, approve and submit invoices) in Serengeti
  • Significant budgeting experience
  • Strong communication and organizational skills needed
  • Microsoft Office Suite
  • SAP (primarily for invoice submission and approval)
  • Must be available to work overtime as needed
  • Must strictly observe confidentiality
