This privacy notice (“Notice”) describes how Coty (which is operated by Coty Inc. and its affiliates) (“Coty”, “us”, “our”, “we”) collects and uses your personal data when you use the Coty Ethics & Compliance Hotline (the “Service”).


The Coty Privacy Notice found at: https://privacy.coty.com/ shall govern the collection and processing of any personal data in relation to the Service. Please read this notice carefully as it describes in detail the rights and responsibilities regarding processing of your personal data.


In addition, the following supplementary terms shall also apply specifically to your use of the Service:

1. What personal data do we collect when you use the Service?


You remain in control of what personal data is collected by the Service, based on the Report Type you select when making a report, as detailed in the following table:

Name, email address, phone numbers, descriptions of yourself or others involved in your issue description and personal data in any photos or files uploaded.
Remain anonymous towards the organisation 
As per Share contact information row but the ‘Tell us about yourself’ personal data is only processed by Convercent. Note that if you enter your personal data in the issue description it will be processed by Coty.
Remain completely anonymous 
No personal data will be processed providing you enter no personal data in the free text fields and do not enter your email address to receive email updates.


2. Who will process your personal information?


Coty’s service provider Convercent will securely process your personal data, as well as Coty and its other service providers on behalf of Coty if you elect to share your contact information.


3. For what purposes is your personal data processed?


Your personal data is processed solely for the purpose of investigating your report and taking remedial action and shall not be used by Coty for any unrelated purpose.


4. Information on the use of Cookies


We use one session-length cookie on our website. Cookies are text files that are stored in the Internet browser or by the Internet browser on the user's computer system. If you call up a website, a cookie may be stored on your operating system. This contains a characteristic string of characters that enables the browser to be uniquely identified when the website is called up again.


Cookies are used by us to make sure data entered into one section is held for the next step of the process. The cookie is removed as soon as the report is submitted and no information is held by Coty on that session nor will you be “remembered” on your next visit to the site. 


The following data is stored and transferred: 


  • The data entered by the Reporting Party is held to facilitate the reporting process only while the report is being made. Once the report is submitted and the browser is closed, the cookie self-deletes and no information is stored or transferred. 
  • The legal basis for the processing of personal data using cookies results from Art. 6 Section 1 lit. c and f GDPR. The purpose of the use of technically necessary cookies is to simplify the use of our website. 
  • We point out that isolated functions of our website can only be offered using cookies. 


These are the following applications/ Cookies: 


  • One session-length cookie that allows the Reporting Party to proceed through the reporting process. 
  • This cookie is not stored on your computer beyond the closing of the browser you used to make the report.
